Plans and reports are managed by the Constructors' tools. We design and organize reports to make the most out of them. We determine:

  • The report's topic
  • The necessary information and format for the report
  • When the report is most useful.

The purpose of reports is to provide a clear overview of a specific topic and present a snapshot of our business activities. Without this information, we cannot manage effectively. Reports enable us to understand our responsibilities, what we have achieved, and whether it aligns with our goals.

The reporting system should ensure that we know in advance:

  • What information is required
  • Who needs it
  • When it is needed.

Unexpected and unsystematic report requests usually result in poorly designed reports, with missing information or overloaded with unnecessary information. Their purpose is unclear, and they are often generated late or not at all.

We tailor reports to meet current business needs, which can be quite diverse. Reports that are no longer necessary should be removed in a timely manner, while those required should be scheduled in advance.

As there are modules in the organizational infrastructure that continuously process operational information in the reporting system, it may be sufficient to divide them into four groups.



Report groups

Reports on goals

These reports inform us about the achievement of goals set by Strategers' tools. Goals consist of operational goals and indicators. Reports should constantly inform us of which operational goals and indicators have been achieved and when the entire goal has been accomplished.

Reports on plans

These reports should provide us with information on the progress of plan achievement and whether the plan has been accomplished.

Problem Box reports

These reports relate to problems and problem-solving in the Problem Box. They inform us about the number and frequency of reported problems and the speed and success of their resolution. These reports are therefore considered crucial.

Idea Box reports

These reports relate to improvement actions in the Idea Box, reporting on improvement proposals and their implementation progress.



Note:

Creating reports should be treated like any other work. This means that it should be planned within the appropriate processes and performed according to the procedures in the TaskPacks.


Establishing Goals and Plans Report:

Name: The report should have a recognizable name that clearly indicates what it is reporting on and for which period.

Timeframe: It should be clear in the report which timeframe it is reporting on, such as monthly, yearly, or for a specific period (e.g., from ___ to ___).

Content / Format: The format of the report should be defined in advance, for example, whether it will be provided in a table and what information, columns, and rows that table contains.

Report Users: The report should specify its intended audience and who can access it.


Establishing Problem Box Report:

Name: The name is pre-defined.

Timeframe: It should be clear in the report which timeframe it is reporting on.

Content / Format: This report should present the following information:

  • The number of problems located during a certain period
  • Which organizational Workanizers components are the problems related to
  • The number of problems solved
  • The number of problems still unresolved
  • Whether there are any obstacles to solving the problems

Report Users: The report should specify its intended audience and who can access it.


Establishing Idea Box Report:

Name: The name is pre-defined.

Timeframe: It should be clear in the report which timeframe it is reporting on.

Content / Format: This report presents the following information:

  • The number of improvements initiated during a certain period
  • Which organizational Workanizers components are the improvements related to
  • The number of improvements implemented
  • The number of improvements still in progress
  • Whether there are any obstacles in implementing the improvements

Report Users: The report should be identified for whom it is intended and who can access it.
