˳How-to... Arena - Working meetings

Note: This tool is not currently included in the software.


In the Arena, team planning and preparation for TaskPack execution is critical in order to synchronize their execution through various processes. Arena activities are synchronized with specialized working meetings.

The working meetings of the Arena are:

  • Arena Core
  • Arena Support

Arena Core

This meeting kicks off and coordinates the execution of TaskPacks in various Core processes.


Convener: The meeting is called to order by the Top Manager.


Participants: These are all (or some) Core Process Managers in addition to the Top Manager. Guest participants (certain Support Process Managers, Supervisors, and Doers) can be invited to the Arena Core meeting as needed.


Topics:

  • Do we have goals and plans in mind?
  • What essential Sequences / TaskPacks need to be completed today, tomorrow, this week, or next week?
  • What resources do we share between the different Process Managers (respective processes they coordinate), and how do we share them?
  • What results do we expect?
  • Are we referring to the handover of TaskPacks between the Process Managers (respective processes they coordinate)?
  • Are some critical?
  • Do we have or expect obstacles in the execution of TaskPacks?

The topic conclusions represent an initiative and a guideline for task execution in the Arena.



Recommendations:

  • Frequency: every day or 3 times a week
  • Duration: 30 – 45 min.

Arena Support

This meeting initiates the execution of TaskPacks in the Support processes.


Convener: The meeting is convened by the Top Manager.


Participants: There is no need for all Support Process Managers to attend these meetings together. These meetings can be separated by processes. The reason for this is that these processes are rarely interconnected.


Topics:

  • Until we have goals and plans in mind?
  • What essential Sequences / TaskPacks need to be completed today, tomorrow, this week, or next week?
  • What resources do we share between the different Process Managers (respective processes they coordinate), and how do we share them?
  • What results do we expect?
  • Are we referring to the handover of TaskPacks between the Process Managers (respective processes they coordinate)?
  • Are some critical?
  • Do we have or expect obstacles in the execution of TaskPacks?

The conclusions of the topics represent an initiative and a guideline for the execution of tasks in the Arena.



Recommendations:

  • Frequency: 3 times a week
  • Duration: 15 min.
